Privacy Policy
Effective July 13, 2026
Gallop Systems ("we," "us," "Gallop") is the controller of the information described here. We're a small software consultancy, and we keep this simple: we collect what we need to do our work and run our services, nothing more. We don't sell your data, and we don't run ads.
Scope
This policy covers our website at gallopsystems.com and our client portal at portal.gallopsystems.com, where invited client contacts sign in to see their own project and billing information.
What we collect
Client portal accounts. When you sign in to the portal with Google or Microsoft, we receive your name, your email address, and a provider account identifier we use to recognize you on future sign-ins. That's basic profile information only. We do not receive your password, and we do not get access to your files, email, calendar, or contacts at Google or Microsoft.
Portal invitations. To grant access, we record the email address a client designates for a given portal user.
Business records. As a consultancy, we hold business information about our clients — contact details, project records, invoices, and payment records — under the service agreements we have with those clients.
Technical basics. We use session cookies that are required for sign-in. We do not use advertising or cross-site tracking cookies. Beyond operational logs and error monitoring that keep the service running, we don't run analytics on portal activity.
How we use it
We use this information to authenticate portal access, to show each client their own project and billing information, to operate and secure the service, and to communicate with you about our work together.
Sharing
We never sell or rent personal information. We share it only with service providers we rely on to operate — hosting and infrastructure, payment processing, and error monitoring — and each is bound to handle that information only to provide services to us.
Google API Services
Gallop Systems' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Retention and deletion
We keep portal access data for as long as your access is active. When access is revoked, or on request, we remove it — subject to any legal or accounting retention obligations that require us to keep certain records for a period of time.
Your choices
You can contact us to access, correct, or delete your personal information, and you can ask us to revoke your portal access at any time.
